Crafting Your Wedding Day Timeline

Your wedding day is one of the most significant days of your life, and planning it can be both exciting and overwhelming. One of the most crucial aspects of wedding planning is creating a timeline that ensures everything runs smoothly. This guide will walk you through the steps to craft the perfect wedding day timeline.

Every bride dreams of a flawless wedding day. To make that dream a reality, it's essential to have a well-thought-out timeline. A structured schedule ensures that:

  • Every detail is accounted for.
  • Vendors know when to arrive and what to do.
  • Guests aren't left waiting for the next event.
  • You can relax and enjoy your day, knowing everything is under control. 

To help you with this, we have created a spreadsheet where you can enter the anticipated times for each event of your wedding day.  You can add or delete items to personalize them to your specific needs.

Pre-Ceremony Preparations

  • Hair and Makeup:  Allocate at least 2-3 hours, depending on the number of people getting ready and the complexity of the styles.
  • Allow 30 minutes to get dressed.  This includes arranging your hairpiece and any accessories. 
  • Photography:  1 hour.  Many couples are opting to have their portraits taken before the ceremony.  This gives the couple the intimacy of sharing their “first look.” By doing the photo shoot early, the guests are not left wandering around while the bridal party disappears for an hour to complete the task.
  • Departure for the ceremony: Use an app (Google Maps, Apple Maps, Waze, etc. ) to estimate how long it takes to drive to the ceremony.   Make sure you check at the time you anticipate driving to get an accurate measurement.

The Ceremony

  • Guest Arrival: Guests typically arrive 30 minutes before the ceremony.
  • Bridal Parties Arrival at the Venue: Ensure you arrive at least 5-10 minutes before the ceremony.  This gives you time to make any adjustments to your appearance and a moment to gather yourself before your nuptials. 
  • Groom Arrival at the Venue: Give yourself about 15-20 minutes before the ceremony to greet your family and friends.
  • The Main Event: Ceremonies usually last between 15-30 minutes for non-religious to 1-2 hours for religious ceremonies. Check with your celebrant for an estimated time.
  • Photography: If you choose to hold off the photography session until after the ceremony, allow for 1 hour for portraits.

Post-Ceremony Activities

  • Cocktail Hour: 1 hour.  While the couple takes photos, guests can mingle and enjoy refreshments.
  • Dinner: Typically, the meal takes around 1 hour, although you might want to allot more time for larger parties.
  • Speeches: Plan for about 10 minutes per speaker.  Be aware that “open mic” speeches can take much longer than you anticipated and aren’t as easy to manage time-wise.  
  • Dancing: Check with your venue if they are governed by specific time limits when the music must stop. 
  • The bride and groom should depart shortly before the end-of-event time, with guests departing soon after.  This gives vendors time to clean up and depart; which is important if you want to avoid extra charges for overtime.

3 Top Tips for a Seamless Wedding Day Timeline

  1. Build in Buffer Time: Unexpected things can and often do happen. By adding an extra 10-15 minutes between major events, you'll ensure that minor delays don't derail the entire schedule.  It is much better to have time to relax and take in the moment than to be fractious and anxious from running late.
  2. Communicate with Vendors: Share your timeline with all your vendors well in advance. This ensures everyone is on the same page and can coordinate their roles efficiently.
  3. Consider Your Guests: While it's your big day, it's also essential to consider the comfort of your guests. Avoid long gaps between the ceremony and reception, and ensure there's always something for them to do or eat.
